BOOKING PROCEDURE
Right from the confirmation for booking till final delivery, there are several steps involved.
Indenting Back to top
Customer wishing to avail our services shall book their cargo by placing an indent with us. Through this document customer confirms the transportation of cargo through Boxtrans. The indent is a document mentioning the origin, destination, type of cargo, contents, weight, expected date of requirement at the loading point, service type and payment mode. There are four types of services, viz, Terminal – Terminal, Door – Terminal, Terminal – Door and Door – Door.
This document is a pre printed one and is made available to the client at the time of confirmation itself. Usually indent is accompanied by a token amount of advance deposit, which will be adjusted in freight at the time of billing. An acknowledgement from Boxtrans is sent mentioning the receipt of indent document and the deposit fee.
Receipt of Cargo Back to top
As soon as the indenting procedure is completed, Boxtrans will intimate the client about the exact date and time for collection of cargo by way of a document known as ‘Intimation for receipt of cargo’. Customer will ensure that all packing conditions are satisfied before handing over the cargo to Boxtrans. The cargo will be collected at the specified point depending upon the type of requested service.
Customer will give complete details of the cargo through a document known as ‘Goods Forwarding Note (GFN)’. GFN is a pre-printed form and is supplied to customer at the time of booking of goods. Customer is obliged to declare the type and nature of goods, number of packages, Container wise, package wise details of cargo and weight, date of stuffing, Full addresses of both the booking customer and also the destined person / entity, type of desired service and mode of payment, signature and seal of the customer. Mode of payment is of two types, viz, ‘paid’ – freight and taxes collected along with the cargo at origin itself and ‘to pay’ – freight and taxes collected at the destination at the time of delivery.
On the basis of details provide on GFN, Boxtrans will prepare a document known as ‘Container Load Plan (CLP)’, which contains the details mentioned on GFN by the customer presented in a structured form and is basically a declaration of the client with respect to the goods. Customer will sign this under their seal.
Boxtrans will issue a receipt known as ‘Inland Way Bill (IWB)’, after receiving goods for carriage. A copy of the CLP is also given to Customer for reference and checking at the time of delivery of cargo. The customer shall present IWB at the time of delivery along with their endorsement for receipt of goods at the destination intact.

Customer shall intimate Boxtrans about applicable special packing and handling conditions at the time of indenting itself. Customer can deploy their qualified staff or other third party licensed agencies to monitor the same at the time of packing and handling the cargo for all such cargo. Customer will be obliged to provide clear guidelines to Boxtrans for handling of any cargo as regards to packing / stuffing, handling and transportation by different modes. Customer will also be obliged to provide the special equipment required for handling of such cargo.

Our trained staff will assist the customer in filling up the forms and documents in an accurate manner. Boxtrans follows a stringent checks and balances mechanism spread across all departments to ensure 100% quality in delivery of services to clients. You can witness this quality at any stage of interaction with us. Some of the documents used in external environment are – Loading / movement programmes, memos etc used in Rail terminal operations etc.
Handling of cargo Back to top
Boxtrans will arrange for careful handling of cargo at all stages such as collection, transportation by different modes and at the time of delivery also. Our staff and vendors are well trained to ensure that each and every guideline issued by the customer is followed in totality. They are also trained to keep the customer updated on a regular basis in this regard.

Usually first and last miles are connected by road mode and in between rail mode is used for transportation of goods. We move your goods with extreme care in our own specially designed container freight train rakes on Indian Railways Network. We have a dedicated team of Rail Operations Professionals for continuous monitoring and managing the freight services to meet the dead lines. We have many different types of containers for carriage of different types of goods.
Delivery Schedules Back to top
Process of Delivery of Goods at destination starts after arrival of their goods at the pre determined delivery point. For all types of mode of payments the customer shall surrender IWB to Boxtrans. For ‘to pay’ mode, pre surrender of IWB is mandatory for delivery of goods. All delivery schedules are finalized with the consent of the customer at the time of booking itself. Customer is obliged to acknowledge about the receipt of the goods and their condition at the time of delivery of goods under their seal. The liability of Boxtrans as carrier of goods ceases upon receipt of this original IWB along with the endorsement of the client.
Invoicing Back to top
Invoices are delivered at the place as agreed by the client. Customer is obliged to arrange payment as per agreed terms and conditions at the time of booking. Late payment and other penal charges are also levieable based on mutually agreed terms, conditions and time frames.

Statutory compliances Back to top
Boxtrans as a carrier of Goods undertakes to follow the rules and regulations as mandated under different acts / laws. Customer shall also agree to follow the procedures as required under such acts / laws for transportation of goods. All provisions related with packing conditions, taxes and other mandatory provisions are to be complied with by both the parties. Boxtrans as a carrier of goods shall have the right to collect any dues arising due to wilful violation of such rules and regulations by the client form the client itself. Similarly client has obligation to inform Boxtrans about any such legal provisions applicable to transit of their goods at the time of booking itself.
